Privacy Policy
Last updated October 8, 2026
This policy explains what information Planora collects when you use it, what we do with it, who else handles it, and what you can ask us to do with it. We do not sell personal information and we do not show ads.
1. What we collect
- Account details: your name, email address and password. Passwords are stored only as a one-way hash. You can also add a profile picture, and organization admins can add a logo.
- What you put in a workspace: projects, cards, descriptions, comments, checklists, labels, images and attachments, and your conversations with the assistant.
- Feedback sent through intake: when an app uses a project’s intake key, we store what it sends, including up to five screenshots. We use the sender’s IP address to limit how often feedback can be sent.
- Membership activity: who belongs to which organization, invitations, and requests to join. A join request records the IP address it came from.
- Technical information: standard server logs, such as IP address, browser type and the time of each request, which we use to run and secure the service.
2. How we use it
- to provide Planora: show your boards, keep them live, and notify you in the app;
- to run the AI features you choose to use;
- to keep the service secure and stop abuse;
- to answer feedback and support requests, and to improve Planora.
3. AI features
When you use the assistant or a routine, your message and the relevant board information, such as the cards, columns and members involved, are sent to OpenRouter. OpenRouter passes them to the model provider that generates the answer, such as Anthropic or OpenAI. We keep your conversation history so the assistant can continue where you left off.
If a project uses the code worker, the card’s content and the project’s repository are processed by Claude Code, from Anthropic, to prepare a pull request.
These providers handle the data under their own terms and privacy policies. We send them only what the feature needs.
4. Who can see your information
- Your organization: members of a workspace see its projects and cards, the names and pictures of other members, and who is viewing a board at the same moment.
- Service providers: the hosting provider that runs our servers, and the AI providers above.
- When the law requires it: if we have to disclose information to comply with a legal obligation, or to protect people or the service.
Every organization’s data is kept apart from every other organization’s.
5. Cookies and browser storage
Planora keeps your sign-in token and a few display preferences in your browser’s local storage. We do not use advertising or analytics cookies, and we do not track you across other sites.
6. How long we keep it
We keep your information while your account is active. Content you delete in a workspace, such as a project, is removed from it. To delete your account and the personal information tied to it, contact us as described below, and we will do it unless the law requires us to keep something.
7. Your choices
You can update your name and profile picture in Settings. Depending on where you live, you may also have the right to access, correct, export or delete your personal information, or to object to how we use it. Ask us, and we will respond within a reasonable time.
8. Security
We use encrypted connections, hashed passwords and per-organization isolation for all workspace data. No system is perfectly secure; if a breach affects your information, we will tell you as the law requires.
9. Children
Planora is a tool for work and is not meant for children under 16. We do not knowingly collect their information.
10. Changes to this policy
We may update this policy. The date at the top shows when it last changed. We will announce significant changes in the app.
