How to use Planora

Everything you can do today, from your first board to handing work to the AI agent.

Getting started

Create an account, then create an organization. An organization is your team’s private workspace: its projects, cards and members are invisible to everyone outside it.

To join a team that already uses Planora, either:

  • open the invitation link an Owner or Admin sent you, or
  • enter the team’s join code. Asking is not joining: your request waits until an Owner or Admin approves it.

You can belong to more than one organization and switch between them from the sidebar.

Boards and cards

Each project has a board of columns. Every piece of work is a card, and a card can carry:

  • a priority: Low, Medium, High or Urgent
  • a due date and an assignee
  • labels, which each board keeps for itself
  • a checklist and a description

Drag cards between columns and into order. Switch any board to a list, or open Tasks to see every card from every project on one page.

Rename or recolor a board’s labels under Settings → Labels. Renaming a label changes every card that carries it.

Working together

Boards are live. When a teammate moves or edits a card you see it straight away, without refreshing, and the faces at the top of the board show who else is looking.

Talk about the work on the card itself: comments, @mentions and pictures stay with the task they are about. Mentioning someone lets them know.

The AI agent

Type what you want into the chat under the board, in plain words, for example “add a card for the login bug and give it to Sam”. The agent can create, move, assign and label cards.

It never changes an existing card behind your back: it shows you the edit first, and nothing happens until you approve it.

AI routines

A routine hands matching cards to the AI agent on its own, so you do not have to ask each time. Set one up under AI routines with:

  • Board and trigger column: cards in this column are picked up.
  • Required label: only cards with this label. Leave it unset to match any card.
  • Minimum age: wait until a card has sat untouched this many minutes, so it is not picked up while someone is still writing it.

You can also run a routine by hand. Every run is recorded on the card, so you can always see what was done.

Customer feedback

Let customers send bug reports and feature requests from your own website or app. Each board has its own intake key under Settings → Feedback intake, with three ways to use it:

  • paste the one-line script to add a feedback widget to your site
  • send it from your server with a single HTTP POST
  • call it from your own front end with fetch

Nothing becomes a card until an Owner or Admin approves it under Feedback, unless you set the board to approve automatically. If a key leaks, regenerate it: the old one stops working at once.

Every field, response and limit is in the Feedback API reference.

Team and roles

Every member of an organization has one of three roles:

  • Owner and Admin: everything a Member can do, plus the organization’s name and logo, members and invitations, the join code, join requests and feedback intake.
  • Member: work on every board, card and label in the organization.

Revoking a pending invitation kills its link immediately. Regenerating the join code stops the old one working.

Your profile

Under Settings → My profile, change how you appear to the rest of your organizations, and your password. Changing your password signs out your other devices; the one you are using stays signed in.
